Job Description: 
  • Utilize Adobe InDesign skills to produce sales proposals, RFPs, presentations, client reports, and other sales, operations, and internal support materials: flow-in text, insert pictures, apply style guides, page numbers, formatting, spell checking, etc. for large, multi-page documents. Ensures documents are prepared in a timely fashion.
  • Each proposal coordinator primarily supports 3-5 sales representatives as well as operations, marketing, and internal departments.
  • Duties and tasks are standardized.
  • Projects require an ability to navigate and pull information from the web; manipulate graphics in Photoshop, and layout and design capabilities within Adobe InDesign.
  • Each coordinator works with documents that range from minimum text to large bodies of text, as well as multiple corporate brands and design requirements.
  • Projects also require an ability to build graphs, design charts, and manipulate spread sheets.
  • Must be able to handle deadline pressures and multiple assignments and clients. Must proactively create and maintain timelines, and work with clients as a point person to update team on progression and adherence to timelines, and perform work within specified response and turnaround times.
  • Continually improve and demonstrate best practices to peers, clients, and organization.
  • Gains clarification, approval, and feedback from clients on proposals and other materials.
  • Assists in the coordination and organization of shared electronic files. Ensures integrity of electronic files.
  • Maintains knowledge of client boilerplate, contacts, process, and materials.
  • Works with proofreading team to ensure proper grammar, message consistency, and voice for sales documents.
  • Ensures quality assurance for all documents and materials for assigned clients. Ensure RFP compliance, corporate identity compliance, high-quality photographs, and accurate content. Maintain quality throughout draft, editorial, and production phases.
  • Participates in production of all documents as needed.
  • Performs general administrative duties such as filing, copying, faxing and maintaining archives of documents.
  • May be required to work non-traditional work hours to accommodate workload and delivery of deadline-driven proposals.
  • Performs other related duties as assigned.
  • Must be able to work both independently and as a team player in a fast paced environment.
